Fuell Therapies (“we,” “our,” “us”) respects your privacy and is committed to protecting your personal and medical information. This Privacy Policy explains how we collect, store, use, and protect your data when you complete our Consultation and Health Screening Form or provide us with personal information directly.

1. Information We Collect

We collect the following information to provide safe and effective massage therapy:

Personal Details

  • Full name, date of birth, contact information (address, phone number, email)

  • Emergency contact details

Health & Medical Information

  • Allergies, medical conditions, medications, surgeries, GP visits

  • Contraindications and other relevant health history

Lifestyle & Activity Information (optional)

  • Smoking and alcohol habits

  • Sleep quality and exercise routines

  • Sports/physical activity and injuries

Other Information

  • Sex assigned at birth, gender identity, pronouns (for assessment purposes only)

2. How We Use Your Information

Your information is collected and used solely for:

  • Assessing your suitability for massage therapy

  • Tailoring treatments to your specific health and fitness needs

  • Managing your health and safety during treatment

  • Maintaining accurate client records for clinical and legal purposes

3. Legal Basis for Processing

We process your data under the following legal bases:

  • Consent: You explicitly consent to the collection and use of your health and personal information for assessment and treatment.

  • Legal obligation: We maintain records for 7 years in accordance with professional guidelines.

  • Legitimate interests: To ensure safe treatment and manage risks associated with massage therapy.

Cancellation, Missed Appointment (Incl. refunds)

Cancellation & No-Show Policy

Effective Date: 22 December 2025

1. Appointment Cancellations

  • Clients must provide at least 24 hours’ notice to cancel or reschedule an appointment.

  • Cancellations can be made via text, email, phone, or booking system.

2. Late Cancellations (Within 24 Hours)

  • Cancellations made within 24 hours of the appointment time will be charged at the full session rate.

  • Rescheduling exception:

    • If the client is able to reschedule the appointment within the next 7 days, the cancellation fee may be waived, and the payment transferred to the rescheduled session.

    • This is subject to availability and at the therapist’s discretion.

3. No-Shows

  • Clients who fail to attend their appointment without prior notice will be charged the full session rate.

  • No-show appointments are not eligible for rescheduling or fee transfer.

4. Arriving Late

  • Late arrivals may result in a shortened session to avoid impacting subsequent clients.

  • The full session fee will still apply.

5. Emergency Exceptions

  • Exceptions to this policy may be made only in the event of a genuine emergency.

  • Emergency exceptions are applied at the therapist’s discretion.

6. Payment and Deposit

  • Payment is due at the time of the appointment, unless otherwise agreed in advance.

  • Accepted payment methods: cash, bank transfer, or card. 

  • A non-refundable deposit of £10 is required to secure your appointment.

  • The deposit will be deducted from the total cost of your treatment on the day.

  • If you provide more than 24 hours’ notice, your deposit can be transferred to a rescheduled appointment.

  • Rescheduled appointments must take place within 7 days of the original booking and are subject to availability.

7. Policy Acknowledgement

  • By booking an appointment, clients confirm that they have read, understood, and agreed to this Cancellation & No-Show Policy.

  • Acceptance may be confirmed via a required checkbox on the consultation form or booking system.
